MADE FOR THE FLOORFor teams who export expected stock from an ERP, stock system or spreadsheet and need to see where the shelf disagrees.
A USEFUL STARTING POINT
Zero and not counted are different answers
When a count is compared with a stock file, a missing row is easy to read as zero stock. CountBench keeps them apart: an item you counted as zero is a zero, and an expected item nobody counted stays uncounted until you count it or close the count as incomplete with a reason.
FROM QUESTION TO EVIDENCE
Three steps to a useful result.
- 01
Import the stock snapshot
Export expected quantities as a UTF-8 CSV, map the columns in the preview and confirm the locations in scope. Leading zeroes, units and repeated rows are checked before anything is accepted.
- 02
Count blind or visible
In blind mode, expected quantities stay hidden until you choose Reveal comparison, so counters record what they see. Visible mode shows expected values and differences as you go.
- 03
Review and export the differences
Recount any item or location as a separate pass, accept or discard it with a reason, then export counted, expected and variance columns for review in your own system.
A CONCRETE EXAMPLEA variance is a difference, not a loss
The stock file expects 250 of item 000017 at A-03, and the shelf has 240. CountBench reports a variance of 10 below expected. It does not call it a shortage, change your stock records or decide whether an adjustment is needed. That decision stays in your stock system.
USED IN PRODUCTION
From a careful count to a stocked line.
CountBench checks what is on the shelf at a point in time. Two SmartFACT services handle work that repeats every day: refilling production locations from stores, and checking what goes into each kit. Both are in early access, with scope agreed at onboarding.
RefillFlow
Keeping the line stocked between counts is a different job. Scan an empty container and RefillFlow sends the right refill request to stores, prints the ticket there and tracks it to delivery. Approved plain English rules set the stores queue, priority and escalation.
KitProof
When parts go out as kits, KitProof turns approved plain English component rules into each kit's expected parts and quantities, then checks every scan against that plan before the kit leaves the bench.
BEFORE YOU START
A few practical answers.
What format does the stock file need?
UTF-8 CSV with comma, semicolon or tab separators, up to 5 MiB, with at least a location, item code and expected quantity. You map your own column names in the preview. XLSX import is not supported, so save the sheet as CSV first.
Does blind counting stop people seeing the expected numbers?
It hides them on screen until someone chooses Reveal comparison, and the reveal is recorded. It is a way of working, not a security control: anyone with the original file can still read it.
Will it adjust our stock system?
No. CountBench produces results files. Importing them, and deciding which adjustments to approve, happens in your own system.
What are the current limits?
CountBench records whole-number counts of what is physically present. It is not a stock system: there are no live stock levels, adjustments, valuation, purchasing, lot, serial or expiry tracking, and nothing is written back to your ERP. One person controls a count at a time, on one device. Imports are UTF-8 CSV up to 5 MiB, with up to 10,000 catalogue items, 10,000 expected rows and 500 locations per count. Camera scanning, RFID, scales and scanner apps are not supported.
What happens to my data?
Your count stays in this browser. Save on this device keeps it between visits; a temporary session keeps it only while the tab is open. Nothing is uploaded unless you choose Email me these results, which sends only the files you select and deletes them after sending. No account or contact details are needed to count or download. Google Analytics is optional and loads only after you accept; it never receives codes, quantities, locations or file contents. Use Analytics settings to change your choice; see /privacy/.
